Registration Agreement & Cancellation Policy

Cancellation Policy

  • Planning a retreat requires significant advance financial commitments for lodging, meals, staffing, and other expenses.

    If I cancel my registration:

    • More than 30 days before the retreat: I will receive a refund of my tuition, less a $300 administrative fee.

    • Within 30 days of the retreat: All payments are non-refundable.

    If Rogue Valley Yoga is able to fill my space from the waitlist, it may, at its sole discretion, refund tuition beyond the administrative fee, less any unrecoverable costs already incurred. This is offered as a courtesy and is not guaranteed.

    No Refunds for Personal Circumstances

    Rogue Valley Yoga is unable to offer refunds or credits for cancellations, late arrivals, early departures, or interruptions due to circumstances beyond its control, including but not limited to:

    • Illness or injury

    • Family emergencies

    • Work obligations

    • Weather

    • Wildfire or smoke

    • Flight cancellations or travel delays

    • Vehicle breakdowns

    • Natural disasters

    • Government restrictions

    • Any other unforeseen personal circumstances

    Because Rogue Valley Yoga makes financial commitments for lodging, meals, staffing, and other retreat expenses at least 30 days before the retreat, we are unable to offer refunds or make exceptions after that time. For this reason, we strongly encourage all participants to purchase travel insurance to help protect their investment.

    Force Majeure

    If the retreat must be modified, postponed, or canceled due to circumstances beyond the reasonable control of Rogue Valley Yoga—including but not limited to wildfire, severe weather, natural disasters, public health emergencies, government actions, utility outages, labor disputes, or other force majeure events—Rogue Valley Yoga will make every reasonable effort to provide refunds or credits consistent with the agreements and policies of the retreat center and other vendors.

    If Rogue Valley Yoga cancels the retreat before it begins, all payments made directly to Rogue Valley Yoga will be refunded in full.

    Rogue Valley Yoga is not responsible for airfare, transportation costs, lodging before or after the retreat, travel insurance premiums, or any other personal expenses incurred outside of retreat tuition.

    Program Changes

    The retreat schedule, instructors, accommodations, activities, meals, and programming are subject to change if necessary to support participant safety, weather conditions, facility operations, instructor illness, or other unforeseen circumstances.

    Such changes do not constitute grounds for a refund.

    Technology & Photography

    The Space Between is designed to encourage presence, connection, and a welcome reprieve from the constant demands of technology. We encourage all participants to refrain from using phones, tablets, smartwatches, and other electronic devices as much as possible throughout the retreat, allowing themselves the opportunity to be fully present with the experience.

    Please be mindful of device use in shared spaces and refrain from using phones during meals, yoga practices, workshops, sacred ceremonies, and other group activities.

    To preserve the privacy of all participants, photography and videography during yoga practices, sacred ceremonies, and inside shared tipis or other shared dwellings are prohibited by both Rogue Valley Yoga and retreat participants.

    We'll provide designated opportunities for photographs during the retreat, such as group photos and excursions. Outside of those designated times, please refrain from taking photographs or videos unless you have the explicit permission of everyone who will appear in the image.

    Shared Living

    Participants understand that accommodations include shared or private tipis based on the option selected during registration.

    Guests who reserve a Private Tipi for Two are guaranteed to room together.

    For guests staying in Shared Tipis, Rogue Valley Yoga will thoughtfully coordinate room assignments. Roommate requests will be honored whenever possible but cannot be guaranteed and are subject to availability and the overall needs of the group.

    Participants agree to treat fellow retreatants, shared spaces, retreat facilities, and the natural environment with care, consideration, and respect.

    Health & Participation

    I understand that yoga, meditation, hiking, outdoor activities, swimming, and retreat programming involve inherent physical and emotional risks.

    I agree to participate voluntarily and accept responsibility for my own health and well-being.

    I will inform the retreat leaders of any medical conditions, injuries, allergies, or other concerns that may affect my participation.

    I understand that I am responsible for deciding whether any activity is appropriate for me and may decline participation at any time.

    Photography

    From time to time, Rogue Valley Yoga may take photographs during designated moments of the retreat, such as group photos or excursions, for future promotional purposes. We will always strive to do so respectfully and in accordance with the Technology & Photography policy above.

    If I prefer not to appear in promotional photographs, I will notify Rogue Valley Yoga in writing prior to the retreat.

    Community Expectations

    The Space Between is built upon mutual respect, personal responsibility, and consideration for the experience of everyone attending.

    We ask each participant to help create an environment where everyone feels safe, welcome, and free to fully participate in the retreat at their own pace.

    Participants agree to respect shared spaces, retreat facilities, the natural environment, and fellow retreaters.

    Rogue Valley Yoga reserves the right to dismiss any participant, without refund, whose behavior is disruptive, unsafe, abusive, or significantly interferes with the retreat experience of others.
