By registering for Dharma Immersion, I acknowledge that I have read, understood, and agree to the following terms and conditions.
Registration & Payment
A non-refundable deposit of $1,000 is required to reserve my space.
My registration is not confirmed until my deposit has been received.
The remaining balance is due no later than 30 days prior to the retreat.
Payment plans are available upon request.
Participants who pay their tuition in full by cash, check, or Venmo will receive a $100 discount.
If the remaining balance is not received by the final payment deadline, Rogue Valley Yoga reserves the right to cancel the reservation and offer the space to another participant. Any payments made remain subject to the cancellation policy below.
Rogue Valley Yoga reserves the right to cancel a registration if payment deadlines are not met or if a participant fails to comply with the terms of this agreement.
Cancellation Policy
Planning a retreat requires significant advance financial commitments for lodging, meals, staffing, and other expenses.
If I cancel my registration:
More than 30 days before the retreat: I will receive a refund of all tuition paid, less the non-refundable $1,000 deposit.
All cancellations received within 30 days of the retreat are non-refundable.
If Rogue Valley Yoga is able to fill my space from the waitlist, it may, at its sole discretion, refund tuition beyond the non-refundable deposit, less any unrecoverable costs already incurred. This is offered as a courtesy and is not guaranteed.
No Refunds for Personal Circumstances
Rogue Valley Yoga is unable to offer refunds or credits for cancellations, late arrivals, early departures, or interruptions due to circumstances beyond its control, including but not limited to:
Illness or injury
Family emergencies
Work obligations
Weather
Wildfire or smoke
Flight cancellations or travel delays
Vehicle breakdowns
Natural disasters
Government restrictions
Any other unforeseen personal circumstances
Because Rogue Valley Yoga makes financial commitments for lodging, meals, staffing, and other retreat expenses at least 30 days prior to the retreat, we are unable to offer refunds or make exceptions after that time. For this reason, we strongly encourage all participants to purchase travel insurance to help protect their investment in the event of illness, injury, family emergencies, travel disruptions, or other unforeseen circumstances.
Force Majeure
If the retreat must be modified, postponed, or canceled due to circumstances beyond the reasonable control of Rogue Valley Yoga—including but not limited to wildfire, severe weather, natural disasters, public health emergencies, government actions, utility outages, labor disputes, or other force majeure events—Rogue Valley Yoga will make every reasonable effort to provide refunds or credits consistent with the agreements and policies of the retreat center and other vendors.
If Rogue Valley Yoga cancels the retreat before it begins, all payments made directly to Rogue Valley Yoga will be refunded in full.
Rogue Valley Yoga is not responsible for airfare, transportation costs, lodging before or after the retreat, travel insurance premiums, or any other personal expenses incurred outside of retreat tuition.
Program Changes
The retreat schedule, instructors, accommodations, activities, meals, and programming are subject to change if necessary to support participant safety, weather conditions, facility operations, instructor illness, or other unforeseen circumstances.
Such changes do not constitute grounds for a refund.
Noble Silence, Technology & Photography
Dharma Immersion includes periods of Noble Silence, during which participants agree to refrain from conversation and the use of phones, tablets, smartwatches, and other electronic devices, helping preserve a quiet, contemplative environment for everyone.
Green Rock Retreat Center is an off-grid facility with limited access to electricity, Wi-Fi, and cellular service. Participants are encouraged to disconnect from technology throughout the retreat to support a deeper contemplative experience. Unless needed in the event of an emergency, the use of phones, tablets, computers, smartwatches, and other electronic devices is discouraged for the duration of the retreat.
To preserve the privacy of all participants, photography and videography during meditation sessions, yoga practices, Dharma talks, sacred ceremonies, and inside shared accommodations are prohibited by both Rogue Valley Yoga and retreat participants.
We may provide designated opportunities for a group or scenic photos during the retreat. Outside of that designated time, please refrain from taking photographs or videos.
Shared Living
Participants understand that Dharma Immersion includes shared accommodations unless a private room has been reserved.
Shared accommodations are furnished with individual single beds. Room assignments are made thoughtfully and, whenever possible, participants are paired with roommates of the same gender. Roommate requests will be accommodated whenever possible but cannot be guaranteed.
Participants agree to treat fellow retreatants, shared spaces, retreat facilities, and the natural environment with care, consideration, and respect.
Health & Participation
I understand that yoga, meditation, hiking, outdoor activities, and retreat programming involve inherent physical and emotional risks.
I agree to participate voluntarily and accept responsibility for my own health and well-being.
I will inform the retreat leaders of any medical conditions, injuries, allergies, or other concerns that may affect my participation.
I understand that I am responsible for deciding whether any activity is appropriate for me and may decline participation at any time.
Photography Outside of Noble Silence
From time to time, Rogue Valley Yoga may take photographs before Noble Silence begins, after Noble Silence concludes, or during designated community moments for future promotional purposes.
No photography or videography will occur during Noble Silence or during personal practice without prior permission.
If I prefer not to appear in promotional photographs, I will notify Rogue Valley Yoga in writing prior to the retreat.
Community Expectations
Dharma Immersion is built upon mutual respect, personal responsibility, and consideration for the experience of the group.
Participants agree to honor retreat guidelines, respect Noble Silence, care for shared spaces, and conduct themselves in a manner that supports the safety and well-being of the retreat community.
Participants understand that Noble Silence is an integral part of Dharma Immersion. Repeated disregard for the silence agreement or other essential retreat guidelines may result in dismissal from the retreat without refund.
Rogue Valley Yoga reserves the right to dismiss any participant, without refund, whose behavior is disruptive, unsafe, abusive, or significantly interferes with the retreat experience of others.

I certify that I have carefully read and understand this agreement.
By registering, I acknowledge that I voluntarily accept these terms and conditions and agree to abide by the policies established for Dharma Immersion.
